This FCA Program Cancellation & Refund Policy (“Policy”) applies to all programs promoted on the LATAM Website (https://latam.fcaeglobal.com) operated on behalf of Fredericton Christian Academy (“FCA”), Fredericton, New Brunswick, Canada.
This Policy covers the following FCA programs:
High School Programs (Semester, Year, Gap)
Mini High School Program
Mini High School Experience (Winter Camp)
FCA Canadian Expedition (Summer Camp)
This Policy is intended to provide an overview of cancellation and refund practices for prospective students, families and educational agencies.
However, the only binding and legally enforceable policies are those contained in the official FCA documents, including:
Letter of Acceptance (LOA)
Enrolment & Financial Agreement
International Student Handbook
Family Handbook
Any supplemental FCA policies issued directly by the School
In the event of any inconsistency between this webpage and FCA’s official documents, the LOA and Handbooks always prevail.
1.1 FCA establishes cancellation and refund conditions in accordance with New Brunswick regulations, school policy and immigration requirements.
1.2 All fees, refunds, withdrawals, cancellations and academic impacts are governed exclusively by FCA Canada—not by FCA LATAM Operations.
1.3 LATAM Operations do not collect payments, process refunds or authorize any financial decisions. All financial matters are handled solely by FCA’s Finance Office in Fredericton, Canada.
1.4 This Policy applies to all programs listed above unless otherwise stated in the official FCA documents.
The following fees are always non-refundable, regardless of the reason for cancellation:
Application fee
Administrative fees
Placement or processing fees (where applicable)
Custodianship processing fees (where applicable)
Any other fees explicitly defined as non-refundable on the LOA
Non-refundable fees cover administrative work performed by FCA and are not tied to visa outcomes, student decisions or program participation.
Refunds are granted only under the specific circumstances described in the International Student Handbook and the LOA.
A refund may be issued only in the following cases:
A refund of tuition and/or homestay fees may be granted if:
The student submits official written proof of study permit refusal issued by Immigration, Refugees and Citizenship Canada (IRCC), and
The parent or legal guardian submits a written refund request to FCA.
Non-refundable fees will be deducted as stated in the LOA.
A refund may be granted if the parent or legal guardian submits:
Evidence of the death of an immediate family member, and
A written refund request to FCA.
Refund amounts are subject to administrative review and may not include 100 percent of fees paid.
No refund of tuition, homestay or program fees will be provided in the following cases:
No refund is issued when a student decides to withdraw for any personal reason, including but not limited to:
Change of plans
Desire to return home
Misalignment with personal expectations
Changes in family, financial or personal circumstances
No refund is granted when a student is asked to withdraw or is expelled for violating FCA rules, policies or codes of conduct as defined in:
The Family Handbook
The International Student Handbook
FCA’s Behaviour and Conduct Policies
If a student withdraws after arriving in Canada:
No portion of tuition or homestay fees will be refunded
No credit or deferral will be issued
The student remains responsible for all fees stated in the LOA
If a student cannot continue due to failure to meet academic expectations, no refund is issued.
When the LOA states that the student is registered for a full academic year, the student and family are financially responsible for the entire academic year—even if:
The student decides to withdraw early
The student remains only for one semester
The student is removed for disciplinary reasons
This rule is expressly stated in the International Student Handbook and is strictly enforced.
Policies above apply fully.
Gap students are treated as high school full-year or semester students depending on their LOA.
Mini High School Program fees are considered short-term, fixed-cost educational packages.
Due to the short duration and pre-booked services:
No refund is issued after the LOA is accepted
No refund is issued once travel arrangements begin
No refund is issued once the program has started
Winter Camp is subject to the same refund restrictions as Mini High School.
Once the LOA is issued and accepted, cancellations do not result in refunds except in the cases listed in Section 3.
The Summer Camp is a special program with pre-reserved accommodations, transportation and activities.
For this reason:
No refund is issued after program confirmation
No refund is issued for students who do not attend or who withdraw
Refunds are not available for unused program days or missed activities
Refund exceptions apply only under Section 3 (visa refusal or death in the immediate family).
FCA does not guarantee the ability to defer a student to another intake.
Deferrals may be approved only at FCA’s discretion and:
Are not guaranteed
May require payment of additional fees
Cannot be used as a substitute for refund requests
A deferral is a privilege, not a right.
The following items are not refundable under any circumstances:
Insurance premiums purchased through third parties
Travel expenses (flights, transfers, baggage fees)
Visa or biometrics fees
Personal expenses
Accommodation or activities arranged outside FCA
Fees paid to agents or service providers
FCA is not responsible for third-party costs or cancellations.
To avoid misunderstanding, it is essential to clarify:
FCA LATAM Operations do not process payments.
FCA LATAM Operations cannot issue refunds.
All financial decisions are made exclusively by FCA Canada.
LATAM Operations may assist families and agencies in understanding the policy but cannot modify or negotiate refunds.
LATAM Operations is not liable for travel decisions, visa outcomes, or external service fees.
All financial communications must be directed to FCA Canada’s Finance Office through the contact details provided in the LOA.
Cancellation and commission rules for agencies do not appear on this page.
